Description

Program Details:

Each Chapter in good standing may elect one chapter member to apply for one Officer Travel Grant per calendar year. Multiple Officer Travel Grants cannot be awarded and unused grants do not roll over to following years.

In 2020, the Officer Travel Grant may be used in order to attend an SPIE Career Summit either SPIE Photonics West (San Francisco, CA, USA), SPIE Photonics Europe (Strasbourg, France), or SPIE Optics + Photonics (San Diego, CA, USA). These workshops are where students can join chapter leaders from around the world to develop networks and leadership skills. 

Note: This application is for SPIE Optics + Photonics Officer Travel Grants only. Please see the Chapter Management page, linked below, for application links and timelines for the other Travel Grants. 

Funding Details:

  • One meeting registration including an online proceedings volume (valued at approximately $350)
  • Travel reimbursement funding (amount varies based on country origin and meeting location - https://spie.org/documents/students/SCHandbook_WC.pdf)
    • Expenses eligible for reimbursement include:
      * Airfare and ground transportation – To and from the conference (varies based on location)
      * Lodging – For up to six nights. (valued at up to $1,000)
      * Meals – $50 daily per diem for up to seven days

Eligibility Requirements:

  1. Chapter is in Good Standing: The applicant's student chapter must be in good standing in order to apply. This means that it has a minimum of ten (10) current SPIE student members and has held elections as well as submitted an annual report within the past year.  To double check your chapter's membership, officers, and annual reports status, please go to your chapter's webpage from the portal here: https://spie.org/membership/student-services/student-chapters
  2. Applicant must be selected by chapter: Each chapter may choose to select a representative using their own process. Some chapters have an internal application process while others hold an election. Some chapters only allow the grant to go to a chapter member who is presenting at the conference while others only offer the opportunity to a certain position such as vice-president.
  3. Applicant must be involved in chapter leadership and not be a previous Officer Travel Grant recipient: Whether a current officer or not, the applicant needs to be involved in chapter leadership. The purpose of this grant is to provide training for chapter leaders so that they may better serve their members and to offer exposure to an SPIE meeting. Previous Officer Travel Grant recipients are ineligible.

Conditions of Officer Travel Grant: 

In order to receive the Officer Travel Grant, the recipient must attend the Student Chapter Leadership Workshop on Sunday, 23 August from 8 am - 12 pm and at least two additional workshops during the Career Summit on Monday, 24 August and Tuesday, 25 August.

Failure to attend these workshops may jeopardize grant reimbursement. Only applicants who are able to commit to these conditions should apply. Please note that the Student Chapter Leadership Workshop is being held as a half-day event as it is on the day as the technical conference. If you have submitted a paper and find that you have to present during the time of the Student Chapter Leadership Workshop, you may be excused for that session and make it up by taking an additional Career Development Summit Workshop.
