Program Details:

The SPIE Optics + Photonics Career Summit Volunteer Travel Grant offers funding for students and early career professionals who would like to volunteer at the SPIE Career Summit at SPIE Optics + Photonics in August 2020. 

In 2020, SPIE will hold three SPIE Career Development Summits. Each summit will consist of 3 days of programming and   will take place at SPIE Photonics West (San Francisco, CA, USA), SPIE Photonics Europe (Strasbourg, France), and SPIE Optics + Photonics (San Diego, CA, USA). 

Note: This application is for SPIE Optics + Photonics Volunteer Travel Grants only. Please see the Chapter Management page, linked below, for application link to Career Summit Travel Grants at other meetings. 

Funding Details:

  • One meeting registration including an online proceedings volume (valued at approximately $360 for students and $700 for ECPs. )
  • Travel reimbursement funding (varies based on country origin and meeting location and ranges from $500 to $1,000) - https://spie.org/documents/students/SCHandbook_WC.pdf
    • Expenses eligible for reimbursement include:
      * Airfare and ground transportation – To and from the conference
      * Lodging – For up to six nights.
      * Meals – $50 daily per diem for up to six days.
    • Facilitators may receive an additional $300 - $500 in funding to help offset the lodging costs to attend the Facilitator Training Session on Saturday, 28 March.

Eligibility Requirements:

  1. Membership: Either SPIE Student Member or SPIE Early Career Professional Member (Facilitators must be ECPs)
  2. Engagement: Must demonstrate involvement with SPIE. 
  3. Priority: Priority given to event participants (committee members, technical presenters, conference session chairs, and exhibitors) who do not have other sources of funding. 
  4. Frequency: One per individual per calendar year. 
  5. Recommendation: Requires recommendation from someone who can speak to your accountability. This person does not need to be an SPIE member. 

Conditions of Volunteer Travel Grant: 

All Volunteer Travel Grant Recipients must attend the Student Chapter Leadership Workshop on Sunday, 23 August from 8 am - 12 pm and in addition commit to volunteering up to five work hours during the week. Assignments for volunteer tasks will be informed by applicant availability and interest areas. 

Facilitators must attend the Facilitator Training Session on Saturday, 22 March, from 17:00 - 20:00, and facilitate one of the Career Development Summit Workshops on Monday,  23 August and Tuesday, 24 August. 

Failure to meet these conditions may jeopardize grant reimbursement. Only applicants who are able to commit to these conditions should apply. Please note that the Student Chapter Leadership Workshop is being held as a half-day event on the same day that technical conferences are running. If you have submitted a paper and find that you have to present during the time of the Student Chapter Leadership Workshop, note that it could affect your volunteer requirements.
