INSTRUCTIONS and INFORMATION FOR SPIE INVITATION LETTER REQUESTS
This online form is only for participating authors, speakers, chairs, committee members, and qualifying attendees of the SPIE Meetings in the USA and Europe. Complete one form per person (requests for accompanying family members can be included in the same application) in English. Your name must be spelled exactly as it is listed on your passport (capitalize the first letter of your name but do not use all caps); any differences in spelling could lead to delay or denial of your visa.
After you complete the application, it is important to click Mark as Complete and click Submit; otherwise, your letter will NOT be processed.
Requests are processed based on the order received, and the date of the conference.
You will receive an email from noreply@mail.smapply.net with a link to download a PDF of your official invitation letter after it is approved and processed, you may need to check your spam/junk folder.
You should also make sure that the sites listed here, are allowed by your organization to ensure you receive the email.
Once you download your letter, follow these instructions to approve or not approve:
If Approved, answer "YES" to "Is the letter okay for your use?" task, and click both "Mark as Complete" and "Submit"
If Not Approved, answer "NO" to "Is the letter okay for your use?" task, and click "Save and continue editing". Add all needed changes to "List any changes needed to your invitation letter" task, and click "Mark as Complete"
SPIE is unable to contact embassies or consulates on behalf of or in support of any individual making arrangements to attend an SPIE event
If you have forgotten your account information, please open this link and click "Forgot Username" and/or "Forgot Password"; if you do not have an SPIE account, click "Create Account ". Then return to the invitation letter request form and sign in. Contact customerservice@spie.org with account questions.
